Learn Zapier

Connect thousands of apps with no-code automations (Zaps), AI steps and MCP

23 lessons · 3 hours · 4 levels · covers Zapier as of Oct 2026

Zapier is a no-code automation service: you build Zaps, small workflows where an event in one app (a new form entry, a new email) makes things happen in other apps. It connects more than 9,000 apps, stores data in Tables, collects input with Forms, and adds AI steps that can read, write and use your apps as tools. It is the quickest way for non-programmers to remove repetitive copy-and-paste work.

All 23 lessons, in order

Zap basics

  1. What Zapier is: Zaps, triggers and actions · Essentials · 8 min

Understand the core idea: a Zap watches for an event in one app and then does things in other apps for you.

  2. Apps and app connections · Essentials · 7 min

Connect your accounts (Gmail, Slack, a CRM) to Zapier once, then reuse those connections in any Zap.

  3. Triggers: instant and polling · Essentials · 7 min

Learn how a trigger notices new events, why some Zaps start within seconds and others after a few minutes.

  4. Actions, searches and multi-step Zaps · Essentials · 8 min

Chain several actions in one Zap, and use search actions to find existing records before you create or update them.

Working with data

  1. Mapping data between steps · Essentials · 10 min

Insert values from earlier steps (a name, an email, an order total) into later steps so each run uses its own data.

  2. Formatter: clean up text, numbers and dates · Practical · 9 min

Use Formatter by Zapier to change data into the shape the next app needs: split names, fix dates, do maths, look up values.

  3. Webhooks: connect apps Zapier doesn't list · Practical · 10 min

Start a Zap when any system sends data to a special web address, and send data out to other systems the same way.

Testing and reliability

  1. Testing, drafts, publishing and versions · Essentials · 8 min

Test each step before going live, edit a published Zap safely as a draft, and roll back to an earlier version.

  2. Zap history, run statuses and tasks · Essentials · 7 min

Use Zap history to see every run, what data went through each step, and why something stopped or failed.

  3. Error handlers, replay and autoreplay · Advanced · 11 min

Decide what a Zap does when a step fails: run an error-handler path, retry automatically, or replay runs by hand.

AI in Zapier

  1. AI by Zapier steps: prompts and output fields · Essentials · 10 min

Add an AI step that summarises, classifies, extracts or writes text, and returns named fields for later steps.

  2. Copilot and Canvas: build and plan with AI · Practical · 8 min

Describe an automation in plain words and let Copilot build it, and map whole processes visually in Canvas.

  3. AI steps with tools, knowledge and approvals · Advanced · 12 min

Give an AI by Zapier step app actions, knowledge sources and web browsing, with approvals and task limits (this replaced Zapier Agents).

  4. Zapier MCP: let AI assistants use your apps · Expert · 10 min

Connect AI assistants such as Claude, ChatGPT or Cursor to Zapier MCP so they can run actions in your apps, with controls.

Logic and timing

  1. Filters: only continue when it matters · Practical · 7 min

Add a filter step that lets a run continue only when the data meets your conditions.

  2. Paths: branching logic · Practical · 9 min

Split a Zap into branches so different data takes different actions, with Fallback and Always-run options.

  3. Delays and schedules · Practical · 7 min

Pause a Zap for a while or until a date, and start Zaps on a timetable with Schedule by Zapier.

  4. Looping over lists and line items · Advanced · 10 min

Run the same actions once per item in a list (order lines, comma-separated tags) with Looping by Zapier.

  5. Sub-Zaps and Code steps · Advanced · 10 min

Package reusable steps as Sub-Zaps that other Zaps call, and know when a small Code step is the right tool.

Tables, Forms and Canvas

  1. Zapier Tables: store data for your Zaps · Practical · 9 min

Keep records in Zapier Tables, read and write them from Zaps, and use them as a simple database or AI knowledge.

  2. Forms (formerly Interfaces) and Chatbots · Practical · 8 min

Build simple forms and pages that save to Tables and start Zaps, and know where Zapier Chatbots fit.

Teams, security and limits

  1. Teams, admin controls and security · Expert · 10 min

Run Zapier safely in a company: shared folders and connections, ownership, admin app controls, SSO, audit logs and data retention.

  2. Designing robust Zaps and when not to use Zapier · Expert · 10 min

Recognise the limits of Zapier (volume, timing, complex logic, sensitive data) and design around them or choose another tool.
