Many processes depend on timing: follow-ups after three days, reports every Monday.
Not every Zap should act instantly.
Delay by Zapier is an action that pauses the run. Options:
- Delay For: wait a set amount of time ("wait 3 days, then send the follow-up").
- Delay Until: wait until a specific date and time, which can be mapped from earlier data ("remind one hour before the appointment").
- Delay After Queue: space runs out so they happen one at a time with a gap, helpful when an app limits how many requests it accepts per minute.
While waiting, the run shows as delayed in Zap history. If you edit the Zap during the wait, check what the delayed runs will do when they resume.
Schedule by Zapier is a trigger that starts a Zap on a timetable: every hour, every day at 9:00, every Monday, or once a month. It doesn't need an event from another app. Use it for regular jobs: a daily summary of new leads, a weekly reminder, a monthly report.
Pair it with search actions: "every morning, find all rows where status is Open, then post a count in Slack".
Time zones matter for both. Check your account's time zone setting, and when a date comes from another app, check which time zone it uses. Formatter can convert time zones if needed.
Delay and Schedule are not available on every plan, so check yours if you don't see them.
Remember
- Delay For / Delay Until pause a run; Delay After Queue spaces runs out
- Schedule by Zapier starts Zaps on a timetable
- Check time zones whenever timing matters
Watch out for
- Using a long Delay inside one path, which holds up the branches after it.
